Work with Cost Allocation Proposal

There are two ways to create a Cost Allocation:

  1. Create Cost Allocation manually: see Create Cost Allocation Proposal.
  2. Create Cost Allocation directly from Purchase Invoice or Credit Memo. To be able to create Cost Allocations directly from purchase invoices or credit memos your Microsoft NAV Partner needs to customize some lines to some objects. See Customize NAV for 2-Controlware Cost Allocation. After customization you can select an invoice line and select Actions (Alt+F10), Line, Cost Allocation to create a Cost Allocation.

When creating a Cost Allocation you select the appropriate template to capture the settings. You can change the values of the fields for the Cost Allocation if necessary. For explanation of the fields see the previous paragraphs (Cost Allocation Setup and Create Cost Allocation Template).

Some tips:

  • Based on the settings in the header of the Cost Allocation proposal, the Cost Allocation lines are calculated automatically, but you can still change the lines if necessary. To solve rounding issues an additional line may be created in the last period of the Cost Allocation.
  • You can define (optional) the dimension values to be used for analysis purposes for the Cost Allocation. At modification of dimensions the changes may be applied to the dimensions in the allocation lines.
  • If the field Use Allocation is checked you can enter Allocation Lines by selecting Related Information, Line, Allocation Lines. Here you can also enter dimensions per allocation line by selecting Related Information, Line, Dimensions.

The following fields are additional for Cost Allocation template

1. Open window Cost Allocation by selecting Departments - Compliance - Control - Cost Allocation - Cost Allocation and select New (Ctrl+N).

2. FastTab General:

  • No.: Automatic and / or manual, based on the number series settings.
  • Description: Enter a description for the Cost Allocation.
  • Document Type: Select Purchase Invoice or Purchase Credit Memo.
  • Document No.: Select the appropriate purchase invoice line.
  • Pre-Assigned No.: This field is automatically filled if the document is not posted.

Post Recurring Journal

1. Select Actions, Functions, Post Recurring Journal.

2. The field Posted of a Cost Allocation line is checked if a line is posted.

Clean Recurring Journal

If the field Automatically clean Rec. Jnl. In the header of a Cost Allocation is not check, you can manually clean the expired Cost Allocations in the recurring journal.

1. Select Actions, Functions, Clean Recurring Journal.

Batch Job

You can use the function Post Batchto post all open Cost Allocation lines of all the processed Cost Allocations

1. Select Actions, Functions, Post Batch.

Set Work Date

When working with the module Cost Allocation, it is important that the work date is set correctly. At posting recurring journal lines all lines with expiration date before working date are posted. Posting of the lines to correct rounding differences are only posted if the working date is equal to the expiration date of the line.

Process Cost Allocations

1. Open window Cost Allocation by selecting Departments - Compliance - Control - Cost Allocation - Cost Allocation.

2. Select Actions, Functions, Process Cost Allocation.

  • The Status of the Cost Allocation changes to ‘Processed’.
  • If a Cost Allocation line is posted the field Posted is checked.

Post Recurring Journal

1. Select Actions, Functions, Post Recurring Journal.

2. The field Posted of a Cost Allocation line is checked if a line is posted.
